Administrative Assistant

Position Summary:

The Administrative Assistant position provides essential support to ensure smooth operations at Menke & Company. This role involves assisting with billing processes, coordinating appointments, maintaining accurate records, and scanning documents.

Responsibilities & Contributions:

  • Process regular billing for clients
  • Prepare and send Practice Forward billing and proposals
  • Distribute billing analysis reports to team members
  • Prepare tax appointment folders to ensure they are ready before scheduled tax appointments
  • Schedule and manage team member client appointments as needed to ensure no scheduling conflicts
  • Update audit budgets weekly
  • Reconcile tax drop-off drawer during tax season
  • Scan incoming source documents from clients
  • Order tax handbooks
  • Perform data entry in the firm’s practice management system
  • Assist other team members in preparing and assembling client documents for distribution
  • Provide backup to other administrative team members as needed, including occasional backup for our front desk personnel and answering the firm’s main phone line
  • Participate in administrative team meetings and contribute to ongoing process improvement
  • Perform other administrative duties and tasks as needed
  • Manage personal workload effectively and ask questions of team members if uncertain of prioritization
  • Demonstrate good written and verbal communication skills both internally with team members and externally with clients and vendors
  • Demonstrate willingness to learn firm software and become proficient using them
  • Demonstrate basic knowledge of Microsoft Office, Adobe, Onvio and any other software used by the firm
  • Adhere to firm policies and procedures
  • Demonstrate a team-oriented attitude
  • Demonstrate an inquisitive attitude and ask questions when necessary
  • Maintain a high level of accuracy and attention to detail in all tasks
  • Participate in firm training and mentoring events
  • Demonstrate confidentiality as it pertains to client and firm information

Qualifications:

  • 2-4 years of relevant work experience, experience at a CPA or professional services firm preferred
  • Proficiency with Microsoft Office Suite and Adobe
  • Experience with data entry into a practice management system preferred
  • Excellent organization and project management skills
  • Ability to work in-person in our Burlington office Monday through Friday, with Saturdays and overtime required during peak seasons (typically early February – April 15th)
  • High school diploma or equivalent (college degree a plus)
